Cowstail ("we", "us") provides admin software for rope access technicians. This policy explains what personal data we collect and how we use it under UK GDPR.
Account details (name, email), the data you enter to run your business (clients, invoices, kit records, finances, qualifications), files you upload (photos, PDFs, your logo), and basic usage and device information to keep the service working and secure. Companies also provide business details (Companies House number, website, work email) used to verify the company.
Cowstail has one optional AI feature: reading the text of a photo you choose to scan (a qualification card, a receipt, a business card or a page of a paper logbook) so the matching form is prefilled for you.
To provide the service, send transactional emails (such as invoices and reminders you trigger), keep your account secure, and improve the product. We do not sell your data.
Your data is stored on servers in the European Union (Hetzner, Germany) and files in private object storage (Cloudflare R2), encrypted in transit and at rest, with access restricted to what the service needs. We retain it for as long as your account is active; deleting your account (Settings → Delete account) removes the account, every record and every uploaded file.
We share data only with the providers needed to run the service, each bound to protect it to at least the same standard: Hetzner (hosting, EU), Cloudflare (file storage, bot protection), OpenAI (AI text extraction from photos you choose to scan, see above), Resend (transactional email), Apple and Google (optional sign-in only) and Companies House (UK company verification, public register). We do not sell your data and do not use it for advertising.
